Purpose: This policy explains when and why we collect personal information about SENDRA Members, how we use it, the conditions under which we may disclose it to others and how we keep it secure.
Scope: This policy applies to anyone who joins SENDRA.
Policy Statement: The St. Ebbe’s New Development Residents’ Association (SENDRA) is committed to protecting and respecting your privacy and keeping any information we have about you secure.
Who are we? We are The Saint Ebbe’s New Development Residents’ Association, known as SENDRA, a voluntary association of local residents who aim to keep the estate pleasant and safe for us all and provide opportunities, from time to time, for neighbours to meet each other. We publish an annual Directory of current members with their street addresses, e-mail addresses and telephone numbers (but only if those members give us permission to include them). We also circulate a monthly newsletter. Our elected Committee maintains regular contact with the City and County Councils, the Environment Agency, Oxford Flood Alliance and the Police. Occasionally, with the permission of the members concerned, we may post photographs of you at SENDRA events on the website.
How do we collect information from you? We obtain information about you when you join SENDRA and when you renew your membership each year.
What type of information is collected from you? The personal information we collect includes your name, address, telephone number/s and an email address (if you have one).
How is your information used? We use your information to:
- send you newsletters and other communications which you have requested via the membership form;
- distribute the annual Directory;
- seek your views or comments on local community or Oxford City plans;
- notify you of changes to activities;
- get in touch with your designated contact in an emergency.
We hold your personal information for as long as you remain a member of SENDRA. We delete it from our system if you decide to resign from the membership, do not renew your membership or move elsewhere.
Who has access to your information?
Only the SENDRA Chair has access to the system where you information is stored;
we will not sell or rent your information to third parties;
we will not share your information with third parties for marketing purposes.
